What versions are for
When a document changes, you put the new PDF on the same document instead of sharing a new one. Each replacement becomes a new version (v2, v3 and so on). Every share link keeps its address, its settings and its analytics, and recipients see the new version straight away on the link they already have.
The History page lists every version, says what changed in each one and lets you compare pages. Your own version history and AI compare work on every plan, Free included.
Replacing the PDF
There are three ways to add a version:
- Click Replace file on the document page and pick the new PDF.
- Ask your agent to replace the document. See Connect your agent.
- For a file imported from Google Drive, click Update next to From Google Drive on the document page. See Google Drive.
The replacement itself costs no credits. The new version's summary and the AI compare of what changed do. AI compare runs automatically at the level set on the dashboard Automations tab: Basic by default on Free, Standard by default on Pro. If you run out of credits, they are skipped and the version is still recorded. See Credits and plans.
There is no rollback. To go back to an earlier version, replace the file again with the older PDF. That becomes a new version.
Opening the history
Click the version pill (for example v3 · History) in the document header. The page has two tabs:
- Versions: the version list and an overview of the document's history.
- Activity: everything that happened to this document, newest first. See Activity.
The version list
Version history shows one row per replacement. Each row shows the version number and its impact, a short summary of what changed, then who replaced it, when, how many pages there are to compare, From Google Drive when the new file came from Drive, and the file size with how it changed from the previous version.
Above the list:
- Filter by impact: All, None, Minor, Medium or Major. The impact is an estimate from the number of changes the compare found: up to 2 is Minor, up to 5 is Medium, more is Major.
- Sort: Newest first or Oldest first.
- Page size: how many versions to show at once. Load more shows the next ones.
Seeing what changed
Click View changes (or Expand) on a row to open it. You see:
- The list of changes the compare found, and Copy summary to copy the AI summary.
- The pages that changed. New, removed and moved pages say so, and a page that moved shows where it was, for example "Page 6 (was 4)".
- View extracted text (previous vs new): the text of both versions next to each other.
If there is no list, the row says "No detailed change list available."
To run the compare again, pick a level, Basic (2 credits), Standard (5 credits) or Advanced (12 credits), then click Run AI compare (or Regenerate when there is already a summary).
When a version was not compared
The row says why:
- The workspace was out of credits. Expand the row to run it now. A version uploaded before October 2, 2026 may instead say the daily credit cap was reached; that limit no longer exists, and you can run the compare now the same way.
- Automatic compares are off for this workspace.
- The compare failed. Expand the row to run it again.
- It is the first version, so there is nothing to compare against.
- On a saved copy, the new version came from the original. Saved copies are not compared by AI; the row lists what changed from the text instead. See Shared with you.
- "This version reads exactly like the previous one, so no compare was run."
Comparing pages
Click a changed page, or Compare full size, to open the page compare. Choose how to look at it:
- Side by side: both versions at once.
- Slider: drag to wipe between them.
- Fade: cross-fade to catch changes in place.
Turn on Highlight areas to mark what changed on the page. For a page that exists in only one version, or that only moved, there is nothing to wipe, fade or mark, so you see it side by side.
Who on your team has seen it
Each version has a Recipients box. Click Load to see the members of your workspace who are told about the update and, for each, Opened ✓ or Not opened. Stats on a person shows whether they viewed page 1, their total time and the time they spent on each page.
Members are emailed about each replacement, as often as their own notification settings say. See Notifications and visit briefs.
History overview
Beside the list, History overview sums up all versions: Current version, Replacements, Most recent editor, First change, Last change and Avg cadence (which needs at least two replacements), plus Top editors, an Impact breakdown and the Common signals that come up across versions.
Letting recipients see versions
Recipients see only the latest version unless you turn on Let recipients browse versions on their link. They then get a version history button in the viewer, listing each version with its date and what changed. This setting is Pro only, and it is per link. If the workspace moves to Free, the button disappears from the viewer. See Share links.
