Share links

One document, many links: labels, passwords, expiry, downloads, disabling and replacing the PDF.

A document can have many share links. Create one per audience: one for each investor, counterparty or team. Each link has its own settings and its own stats, so you can see who came through which link and revoke one without touching the others.

Links are not a plan limit. A document can hold up to 50 links at a time, on Free and on Pro. The Free plan counts shared documents (10), not links. See pricing.

Every document starts with a Default link, created with the document. To add another, open the document and click New link, or click Links in the document header to see every link in a table.

To send several documents to the same person as one link, use a project link instead. See Projects.

Anyone in the workspace except a viewer can create and change links. Your agent can create, change and delete links for you too. See Connect your agent.

  • Label: a private name for the link, such as the recipient. Never shown to viewers. The default link keeps its name.
  • Audience: an optional private note, such as the person and the deal.
  • Link enabled: turn the link off to take it offline. Turn it back on any time.
  • Allow download: whether viewers can download the PDF from the viewer. Off by default on a new link.
  • Let recipients browse versions: shows viewers each version with its date and what changed. Pro only.
  • Password: optional. Any length from 1 to 128 characters.
  • Expires: optional. The link stops working at the end of that day, in your time zone. To reopen an expired link, edit it and pick a later date or click Clear.

When you create a link you can pick another link on the same document under Copy settings from.

To change a link, click Edit on its row. The ⋯ menu on each row has Disable link (or Enable link), and on every link except the default, Make default and Delete…. Make default makes that link the one shown in the document's side panel.

On Free, adding an enabled link to a document that is not shared yet counts as sharing one more document. If you are at the 10-document limit, the link is created switched off.

Passwords

  • Set a password on any link. Two recipients of the same document can have different passwords.
  • Viewers enter it once; the browser stays unlocked for 14 days.
  • Changing a link's password locks it again for everyone, including browsers that had already unlocked it.
  • Workspace owners and admins can click Show in the link's Password field to see it, so you can tell a recipient what it is later. Members see only that the link is password protected.
  • Agents cannot read a password back. They can check whether a password you give them opens the link.
  • To remove a password, edit the link, click Remove and save.
  • After too many wrong attempts, a recipient has to wait a few minutes before trying again.
  • Unlocking one link never unlocks another.

Downloads

If Allow download is off, the viewer still shows a Download PDF button. Clicking it lets the viewer request a download by entering their email. You receive an email with Approve and Deny links. If you approve, the viewer is emailed a link to download the file or save it into a free LinkDrop account (sign-in required).

  • Approving sends the document as it is at that moment. Uploading a new version afterwards does not change what they get.
  • The download link works for a limited time (a day by default; the approval email and the page say until when), then it stops and our copy of the file is removed. They can ask again from the link.
  • Changed your mind? Open the request email again and choose Deny to take the approval back. The link stops working and the file is removed at once. A copy they already saved to their LinkDrop account stays theirs.

People who ask to download appear in your Contacts.

Disabling, revoking and deleting

  • Disable a link to revoke one recipient's access at once. The document's other links keep working. Re-enable it later if you want.
  • Delete a link when you will not need it again. Its past views stay in the document's totals. The default link cannot be deleted; disable it, or make another link the default first.
  • Archive the document from the document's header menu to take every link down and free a Free-plan slot. Everything comes back when you unarchive it. On Free, unarchiving needs a free document slot.
  • To take every link offline but keep the document in your list, ask your agent to turn off sharing on the document. Turning sharing back on restores only the links it switched off, not ones you disabled yourself.

On Free, a document stops counting toward the 10-document limit once none of its links is live, whether you disabled them yourself, sharing was turned off, or the document was archived. Turning a link back on makes the document shared again, so at the limit it needs a free document slot first.

A disabled, expired, archived or deleted link answers exactly like a link that never existed: recipients see "This link isn't available", with a note that it may have expired, been turned off or be mistyped. Nothing about the document leaks, not even its title in a link preview. See Privacy and security for how links and recipients are protected.

Replacing the PDF

Click Replace file on the document page whenever the content changes, or ask your agent to replace it. Every link keeps working, keeps its analytics, and recipients always see the latest version. The replacement itself costs no credits. The new version's summary and the AI compare of what changed do use credits; if you run out, they are skipped and the version is still recorded. What recipients see

  • The viewer opens on the document. Viewers can step through single pages, scroll all pages, or use a grid of page thumbnails.
  • A Summary button shows the summary and key points LinkDrop wrote.
  • Every page a recipient lands on shows who shared it: the workspace name, or the owner's name if the workspace was never given one.
  • If the link has a password, the password screen shows who shared it and nothing about the document, not even its title. A password-protected link also shows a generic preview card when pasted into Slack or another app that previews links.
  • Viewers can optionally Introduce yourself with a name and email, which labels their activity on your side. See Analytics for how this shows in your analytics.

Share links look like lnkdrp.com/s/<id>. Older links of the form lnkdrp.com/share/<id> still work and open the same document.
