The document page
Every PDF you upload becomes a document with its own page. That page is where you check that it is ready, share it, see how it is doing and change it.
- Status: while LinkDrop reads the file, the preview and the side panel say Preparing. If something went wrong, the header shows Upload failed or No file (see When processing fails below). A document that is ready shows no status label.
- Preview: the PDF itself, as your recipients will see it.
- The default link: shown in the side panel with a copy button, so you can send it straight away. See Share links.
- Stats and summary: a quick stats card, and the Summary and key points LinkDrop wrote. See Analytics.
- Links and Metrics: the two buttons in the header open every link on the document and its full analytics. They are available once the document is Ready.
- History: the v2 · History label beside the title opens every version of the document. See Versions and history.
To rename a document, click its title, type the new name and press Enter. The star beside the title adds it to your starred list. See Search, stars and tags.
While someone has one of the document's links open, a green N reading now label appears in the header. Hover over it (or tap it on a phone) to see each reader and the page they are on. Click a reader to open their page for this document.
Finding your documents
- The Docs list in the left sidebar shows your 20 most recently updated documents, with See more when there are more.
- Click Open all docs (the icon next to Docs) for the full list. It has a Docs / Archived switch and a Search box (Search archived docs when you are looking at archived ones).
- Each row in that window has Copy doc link, and a … menu with Move to project and Archive. In Archived, each row has Unarchive.
Copies of documents other people sent you are not in Docs. They are under Shared with you. See Shared with you.
The … menu
A document's … menu (in its page header, on its sidebar row, and on project pages) holds everything you can do to the document itself:
- Projects: add the document to a project or take it out, or create one with New project. In the sidebar the item is called Add to project, and in the Open all docs window, Move to project. See Projects.
- Remove from this project: on a project page, and on the page of a document that is in a project.
- Keep inside its project or List in the workspace: on the document's own page, only for a document that is in a project. See Projects.
- Archive or Unarchive.
- Delete document…
Archiving a document
Archive a document you are done sharing but want to keep.
- Every link on it stops working at once, and recipients see "This link isn't available".
- Its analytics are kept.
- On Free, it stops counting toward your 10 shared documents.
- To bring it back, choose Unarchive from its … menu, or from Open all docs > Archived. Its links work again. On Free, unarchiving needs a free document slot.
An archived document still uses storage. One year after you archive it, it moves to Recently deleted, and is then removed for good 30 days later unless you restore it.
Deleting a document
- Open the document's … menu and choose Delete document…
- Confirm with Delete.
Every link on it stops working at once. The dialog tells you: "Deleted items are kept for 30 days in Recently deleted." Deleting frees the document's storage straight away.
Restoring from Recently deleted
Deleted documents, projects and links wait in Recently deleted for 30 days. To open it, go to your Dashboard and choose the Recently deleted tab, or click Recently deleted in any delete dialog. See Dashboard and account.
- Only workspace owners and admins can see the list and restore from it. Everyone else is asked to contact one of them.
- Filter by All, Documents, Projects, Links or Uploads, or search by name, email or id.
- Each row shows Name, Deleted, Deleted by and Permanent removal, which counts the days left. A deleted link is kept for as long as its document or project exists.
- Click Restore on a row to bring it back. Uploads cannot be restored. On Free, restoring a shared document needs a free document slot, as unarchiving does.
- Deleted workspaces lists workspaces you owned or administered when they were deleted. They can be restored for 30 days too.
A restored or unarchived document comes back still starred. Deleting a document removes its tags, and restoring it does not bring them back. After 30 days, a deleted document is purged with its files and the visits recorded on it. See Privacy and security.
When processing fails
Uploads can be up to 50 MB and 300 pages. If a file cannot be read, the document page says why and what to do:
- Upload failed, "Processing failed: <reason>. Try again, or replace the file." Click Try again to run processing again, or use Replace file to upload a different PDF. Try again appears only when there is an upload to retry.
- This is taking longer than expected: "We never finished reading this file." Click Try again, or delete the document from the … menu and upload it once more.
- Upload failed, "This upload did not finish." Try again, or delete the document and upload it once more.
- No file yet: nothing was uploaded to this document. Use Replace file to add one, or delete the document and upload the PDF again.
If a new version fails, the page says "Your existing document was kept." Your links keep showing the previous version. See Versions and history.
A failed upload also appears under Needs you in the account menu, and under the Failures filter on the Notifications page. See Notifications and visit briefs. If your workspace is out of storage, see Credits and plans.
