Workspaces
A workspace holds documents, projects, share links, contacts, members, connected agents and its own plan and credits. Your account starts with one, named when you sign up, and you can create more for the people you work with.
- Create a workspace from Dashboard, then Workspace, then Create workspace….
- On Free you can own two workspaces, counting the one your account started with. If any workspace you own is on Pro, there is no limit.
- Each workspace is billed as its own customer. A Pro upgrade applies to that workspace only. See Credits and plans.
- Every Free workspace starts with its own 100 credits.
- A workspace can have an icon: square, at least 120 by 120 pixels, up to 2 MB. PNG or WebP keeps transparency; JPG works too.
- Owners and admins can rename a workspace and change its icon from Dashboard, then Workspace.
- Only the owner can delete a workspace: on Dashboard, then Workspace, click Manage… next to it, then Delete workspace…, and confirm by typing
deletefollowed by the workspace name. Its documents go with it, and a Pro subscription on it is cancelled first. The workspace your account started with cannot be deleted. See Privacy and security for what deleting removes. - Only the owner can reset a workspace, to start over without deleting it: Manage… next to it, then Reset workspace data…, and confirm by typing
resetfollowed by the workspace name. Every document (archived and recently deleted ones too), link, project, contact, view and the whole activity feed are removed at once and for good; there is no Recently deleted for a reset. The workspace keeps its name, icon, members, invitations, settings, plan, credits and billing, and nobody is sent back through the welcome screen. You can also choose to disconnect Slack and connected agents. The owner gets an email confirming what was removed. - Agents cannot create, rename, reset or delete workspaces. A person does that in the app.
Switching
The current workspace's name and icon are shown at the top left of the app. Clicking it opens Dashboard, then Workspace, where Switch moves you to another workspace. You can also switch from your account menu, which lists your first four workspaces and has Manage workspaces… for the rest.
Notification settings are separate for each workspace, and so are agent connections: an agent connection acts on one workspace only. See Connect your agent.
Roles
- Owner: created the workspace. Cannot leave it, and is the only one who can delete it.
- Admin: can invite and remove members and viewers, manage billing, connect Slack, create and change project links, create API keys for agents and revoke agent connections.
- Member: can upload, share, replace, manage document links and organise projects. Project links are for owners and admins; see Projects.
- Viewer: read-only. Sees every document and all the analytics, but cannot change anything.
Members, admins and owners can also tag a contact and write the note on one. Viewers read the contacts and change nothing.
A person's role cannot be changed in the app, and ownership cannot be transferred. To give someone a different role, remove them and invite them again with the new one.
Anyone in a workspace, viewers included, can connect an agent to it. The agent gets the same access as the person: a viewer's agent can read but not change anything.
Who takes a seat
Free workspaces are single-user: the owner is the only person in the workspace, and inviting anyone, as a member or as a viewer, needs Pro.
Pro includes 3 people beyond the owner who can upload, share and replace. Anyone else can be invited as a viewer: free, unlimited, and able to see every document and all the analytics. Agents never take a seat. Additional paid seats will be announced and priced before they are billed.
If a Pro workspace drops to Free, nobody is removed. Having more members than Free allows starts a 14-day grace period, after which new documents and projects are blocked until the workspace is back under the Free limits or upgrades.
Inviting people
From Dashboard, then Members, then Invites, owners and admins can:
- Choose a role (Member, Viewer or Admin), then click Generate link to get an invite link you send yourself, or enter an email address under Invite by email and click Send invite so LinkDrop sends the invitation.
- Invitations are valid for 14 days. The list shows which are used, not used or expired, and who redeemed each one.
- Revoke an unused invitation at any time.
The person joining opens the invitation, signs in with Google and lands in the workspace. Accepting an invitation also lets them in without waiting on the early-access list.
An invitation sent by email only works for that address: the person must sign in with the Google account for the email it was sent to. If they use a different address, send them a new invitation. A link from Generate link works for whoever opens it, so share it only with the person you mean.
An agent cannot add anyone. It can ask for a member or viewer to be invited, which gives you a link to approve in the browser. Nothing is sent until an owner or admin approves it, and an agent can never ask for an admin.
Removing members and leaving
- Owners and admins can remove people from Dashboard, then Members, with Remove. Admins can remove members and viewers; owners can remove anyone except themselves.
- Admins, members and viewers can leave a workspace themselves with Leave under Dashboard, then Workspace. Owners cannot.
- Someone who is removed, or who leaves, keeps their account and their other workspaces. Only access to that workspace ends. If they were working in it, the app switches them to the workspace their account started with.
Notifications in a team
Notification settings are per member and per workspace. Every member of the workspace that owns a document can be emailed when a recipient opens it, each at their own cadence.
