Your email signature goes at the end of the emails you send from a workspace through LinkDrop: each person's email in a drop, single emails, retries and dry runs. You set it once, in Outreach settings, and choose whether it goes on every email or only on the ones you pick. Each member has their own, and it is set per workspace, so a signature that names one company stays in that company's workspace.
Your templates are never changed: the signature is added to each email as it is made. So its words never go into a template or its preview, and a change to your signature reaches every email you make after it. In the template editor it shows as a Signature chip (see below).
Set your signature
Open Outreach, then click the gear at the end of its tabs (after Images; it says Outreach settings when you point at it). Under Email signature, write it the way you want it to look:
- Bold, italic and underlined words, and line breaks;
- links to a website (
https://), an email address (mailto:) or a phone number (tel:). Select the words first, then click the link button, to make those words the link; - one image, such as a logo, chosen from the workspace's email images. Click Image to pick one or upload a new one. It is shown at most 300 pixels wide.
The preview beside it shows the end of an email as it goes out. Click Plain text above the preview to see the plain-text version, the one mail apps show when they do not show formatting. There is no Save button: your signature saves itself a moment after you stop typing, and Saved shows at the top right. Remove signature takes it off; your emails then go out without one.
Anything pasted is cleaned first: colours, fonts, scripts and images from other places are left out, so the signature always looks the same and only shows images from your workspace. A signature can be up to 12 lines, with up to 5 links and 1 image.
Viewers do not send email, so a viewer's Outreach settings show the signature without the controls.
On every email, or on demand
Under the signature, Add it to every email? sets when it is added:
- Every email (the default): every drop and single email you send ends with it. Include my signature starts ticked on each one, and you can untick it there to leave it off.
- Only when I tick it: it is left off unless you tick Include my signature on a drop or a single email. The box starts unticked.
The choice is saved as soon as you click it. It sets how Include my signature starts on new drops and emails; drops and emails you already made keep their own box, and drops already sent keep what they sent with. A duplicated drop is a new drop of yours: it is unticked when the original left the signature off, stays ticked when the original is your own ticked drop, and otherwise starts as your choice here says.
Where it goes in an email
LinkDrop puts your signature at the end of the email, after a line with two dashes (-- ), the way Gmail and most mail apps mark a signature. It is added once, to both the formatted email and its plain-text version.
In the template editor, a Signature chip under the email shows this, when your signature goes on all emails. The chip does not change the template. Point at it to see your signature, and click it to open Outreach settings. On a phone, tap it once to see it.
To put it somewhere else, drag the chip into the email where it should go, for example after "Best,". The template then has {{sender.signature}} at that spot. You can also write the tag yourself, or choose Insert, then Signature. To put it back at the end, delete the tag. In a plain-text template you can also drag it onto the space under the email. With Only when I tick it there is no chip under the email; the tag you put in shows as a Signature chip in the email. Your signature then goes there and is not added again at the end. The tag goes in the body only (not the subject), once, and in an HTML template only where text goes, never inside a tag, a style or a link's words. It takes no fallback: with no signature it is left out. In a plain-text email it always starts on its own line. See Email templates for every tag.
A template's preview never shows your signature. With Preview as set to Tags, it shows {{sender.signature}} where the template places it; set to Examples or A contact…, that spot is empty. You see your signature where it will actually go: in a drop's dry runs, on a single email's page and in the email as sent.
Turn it on or off for one email or one drop
- Single emails: New email has Include my signature, ticked or not as your setting says. Change it and that one email goes with or without it.
- Drops: a drop's page has Include my signature under From, ticked or not as your setting said when the drop was made. You can change it until you click Send. The Send question says whether each email ends with your signature. If you set or remove your signature after it asked, Send stops and asks again.
With it ticked, the signature goes after the body, or where the template places {{sender.signature}}. With it unticked, there is none, and {{sender.signature}} is left empty.
What a drop keeps
When you click Send, the drop keeps your signature as it is at that moment, with its people and its template. Every email in the drop ends with that signature, retries included, even if you change your signature afterwards. If a workspace owner or admin takes over a drop whose owner left, the emails still to go end with the new owner's signature, since they go from that person's Gmail.
A drop sent before signatures existed sends the rest of its emails as before, without one, also after a take over.
A single email carries the signature it was made with. If a teammate sends an email you made, LinkDrop asks them to make it again, so it goes out with their own signature instead of yours.
If the image is deleted
If the image in your signature is deleted from Images, your emails go out with your signature without the image, and a single email notes it ("Signature image left out"). Outreach settings show your signature without the image and ask you to choose another image, or Save without it.
Agents
Your connected agent can set your signature for you too. Ask it in your own words, for example "make my signature my name, my title and our website, with our logo". It can:
- write it as plain text (each line stays a line, and web and email addresses become links) or with formatting (bold, italic, underline and links);
- add one of the workspace's email images, such as your logo. It can only use an image that is already in Images, so upload the image first or have the agent upload it;
- choose whether it goes on every email or only when you tick it;
- remove it.
Before anything changes, LinkDrop asks you to confirm and shows the end of an email with your new signature, unless you chose Always allow for changing your email signature on that connection's page. It is cleaned the same way as a signature you type here, so the same limits apply. An agent changes only your own signature, in the workspace it is connected to, never a teammate's.
A connected agent can also read whether you have a signature, what it says and whether it goes on all emails or on demand, and can turn it on or off for one email or one drop.
Changing your signature shows in Activity as "updated their email signature", without what it says. Edits you make here count once per sitting, not once per save, and a change made by an agent names the agent. Changing the choice shows as "set their email signature to go on every email" or "… only on emails they choose".
Changes show right away
A change to your signature, or to Add it to every email?, shows in your own open tabs without a reload, whether you made it in another tab or your agent made it: Outreach settings, the Signature chip in the template editor, the note on a drop and the box in New email. Teammates are never told, and your signature's text is never sent to them.
If you are typing in Outreach settings when that happens, your text stays and is not saved over the change. A line under the box says "Your signature was changed elsewhere": choose Load it to see the new one, or Keep mine to save what you typed instead.
Your Gmail signature
LinkDrop does not read the signature you set in Gmail. The signature on your emails from LinkDrop is the one you set here.
